Training Co-Ordinator/Office Administrator
Vicky Anderson Ltd is an award winning rural small business based near Northallerton, North Yorkshire incorporating Vicky Anderson Training and Vicky Anderson Business Services. Due to expansion of the business and promotions within the business we are now looking for a motivated and enthusiastic Training Co-Ordinator/Office Administrator to join our small team in our rurally located office. The position is part time (34 hours per week) with some flexibility and additional hours as the business requires. They will work within the training section of the business alongside working with the business owner and helping to offer office services to customers.
- The successful candidate will be an excellent communicator with a cheerful personality.
- An organised administrator who can work on their own initiative and will promote, book, and organise a number of rural and land-based training courses.
- They will have possible experience in a customer liaison, logistics role and will possibly have experience in sales administration.
- They will have good professional communication skills including email and telephone.
- Ability to develop relationships/contacts with customers, instructors, suppliers, and organisations, as they will collaborate closely with all stakeholders including face to face with the customer.
- Experience of Microsoft Office, including use of Word, Excel and Outlook is essential.
- Ability for filing both digital and manual is a necessity, along with attention to detail.
- Taking enquiries and dealing with all administration associated with bookings and enquires.
- Assisting management with sales and marketing. Attending event and visiting customers to arrange training or work with office services.
- A proficient level of numeracy is a necessity for this role and so a minimum level or Grade C or equivalent at GCSE is required.
- As we are based 5 miles from the nearest town and services, own transport is a necessity, and full driving licence essential.
- Responsibility for working with the funded training program that Vicky Anderson Ltd has won until December 2023
Duties include
- Arranging and booking/registering courses with trainees and instructors
- Arranging and booking assessments with trainees and assessors
- Inputting content/course information on our and certification websites (full training will to be given)
- Invoicing and processing payments – including inputting information onto invoicing/accounts programs (training provided but previous experience ideal)
- Quality Assurance – observing training and assessments compiling information for internal and external audits.
- Invigilating digital assessments
- Upkeep of database records
- Managing Customer Requirements and Expectations
- Preparation of social media posts and responsibility for scheduling in agreement with the management.
- Use of Canva and adobe pro to prepare marketing post and leaflets
- Collation, preparation and distribution of the quarterly newsletter and mail chimp marketing emails
- representing our company at events, arranging the event stand, and dealing with current and potential customers at events
- Answering telephone and email enquiries with a professional manner and in a timely fashion
- Preparation of Performance figures and costing for courses.
- Recording candidates and invoices and collating forms for funded training project to enable claims to be completed.
The hours will be Monday, Tuesday Thursday, and Friday 8.30 -5pm
Place of Work – Beech Hill Farm, Ellerbeck, Northallerton, North Yorkshire
Use of Company Car when visiting clients/customers or training venues or mileage to be paid.
Remuneration depending on experience
Holidays 5.6 weeks including bank holidays pro rata
Wages paid monthly on receipt of correctly competed timesheet.
Probationary period 3 months which can be increased to 6 months.
